Privacy Policy

Who we are

Wisdom School, Hisar is the data controller for the information described here. The software is built and operated on the school's behalf by Code Donor, which acts as the school's processor and may not use the information for any purpose of its own.

What we collect

We collect only what the school already keeps in order to run the school.

• Account details: name, email address, mobile number, the login code the school issues, and the role that account holds.
• Student record: admission number, class and section, roll number, date of birth, gender, house, photograph, and the guardian contact details the family gives the school at admission.
• School record kept year by year: height, weight, eyesight and dental notes recorded at a school medical check; achievements; class teacher remarks; parent-teacher meeting attendance; books read; and scanned work such as trip write-ups and certificates.
• Attendance, homework and examination activity created by using the app.
• Photographs and documents that a member of staff or a student uploads through the app, where the device's camera or file picker is used only at the moment of upload.
• Basic technical information needed to keep an account secure, such as a device identifier and the time of the last sign-in.

What we do not do

• We do not sell personal information, and we never have.
• We do not use the information for advertising, and the apps carry no advertising or third-party advertising software.
• We do not track anyone across other companies' apps or websites.
• We do not collect precise location.

Why we collect it

• To let a student, parent or member of staff sign in and see only what belongs to them.
• To keep the school's own register of attendance, homework, examinations and the cumulative student record the school has always kept on paper.
• To let the school tell a parent about an absence, a meeting or a notice.
• To keep accounts secure and to investigate misuse.

Children's information

Most of the people this system is about are children. Their records are created by the school, not by the child, and a child's account can see only that child's own record.

A note a teacher marks as internal — for example a counsellor's note — is kept for the school and is not shown to the student or the parent in the app.

We do not ask a child for any information beyond what the school needs to teach and care for them, and we do not show advertising to anyone.

Who can see what

• A student sees their own record only.
• A parent or guardian sees the record of the child or children they are linked to.
• A teacher or member of office staff sees the records of the school they work at.
• Nobody outside the school has access, and one school can never see another school's data: each school's records are held in a separate database.

Sharing

We share personal information only where we must: with the hosting and messaging providers that run the service on our behalf and are bound to use it for nothing else, and where the law or a court requires it.

If the school sends a message to a parent by WhatsApp, email or SMS, the recipient's number or address is passed to the provider that delivers that message, for that purpose alone.

How long we keep it

A student's record is kept for as long as they are enrolled and afterwards for as long as the school is required to keep school records, because a school record is a record of a person's education and is often needed years later.

Information that only supports the running of the app, such as sign-in history, is kept for a short period and then removed.

How we protect it

• Data is encrypted while it travels between the app and our servers.
• Each school's records live in a separate database, and every request is checked against the signed-in person's own account before anything is returned.
• Passwords are stored only in hashed form; nobody at the school or at Code Donor can read them.

Your rights

You may ask us to show you the information we hold about you or your child, correct anything that is wrong, or delete it where we are not required to keep it.

Write to [email protected] and we will respond within 30 days. Deletion is described on our Account and Data Deletion page.

Changes to this policy

If we change this policy we will update the date at the top of this page, and where the change is significant we will tell account holders in the app.
